A field checklist XBORUL buyers use after the MOQ 4 sample lands: fitment, finish, cap, packing, photos — then the bulk PO can reuse the same drawing number.
The expensive mistake is approving a sample on Instagram lighting and then arguing about grain, ET or cap color on a 200-piece PO. XBORUL treats the sample as the golden SKU. Bulk is a copy of that SKU, not a new interpretation.
Direct answer
Before you release bulk, check fitment on a real hub, finish against the agreed swatch, branding, packing and the drawing number. If anything changes, it is a new SKU. Path: sample to container. Quote inbox: Contact.
When the crate arrives
- Match the drawing number on the carton to the PDF you signed. If the number drifted, stop.
- Hub-centric sit — on the stated vehicle or a hub stand. No spacer “just for the photo.” How to read the PDF: drawing guide.
- PCD / ET / CB — stamp vs PDF. Three numbers.
- Caliper and inner barrel — turn the wheel, look for rub. Photos: caliper clearance.
- Finish — grain, chrome, paint code vs the swatch you approved. Finishes.
- Cap and logo — private label branding.
- Balance and cosmetic QC — note any marks; send photos, not adjectives. Plant: Factory.
- Packing — carton, foam, bag, marks. Freeze this method for bulk. Loading & Shipping, QC & packing.
What “approved” should look like in writing
A short email is enough: drawing number, “fitment OK on [vehicle], finish OK vs swatch, packing OK, release PO for N pieces.” If you only send a thumbs-up sticker, six weeks later nobody remembers which ET you meant.
What to do if the sample fails
- Fitment fail — we recut geometry; that is a new sample slot, not a polish
- Finish fail — recut finish on the same geometry when possible
- You changed your mind on ET — new drawing number. Do not hide it inside the old SKU
Warranty after bulk is structural on approved forged programs (5 years against manufacturing defects). It is not a free redesign. Warranty note.
Timing
Agreed samples often take about 15 business days. Typical quote reply within 3 hours on business days. MOQ 4 is the evaluation set, not a loophole to skip the checklist.
Material: 6061-T6. Structure: 1 / 2 / 3-piece. Catalog: Products.
Worked example
A dealer group samples a 20×10 5×112 brushed 1-piece. Fitment is good on the BMW, grain is slightly more open than the swatch email. They can (a) accept and freeze that grain as the new swatch, or (b) reject finish and keep geometry. What they must not do is accept, then demand tighter grain on 200 pieces under the same drawing number. Write the choice down. Finish control: finishes.
Who should be in the approval email
Product owner, the person who will photograph the site, and whoever signs the PO. Factory sales chat is not a substitute. If private label caps are involved, include the brand manager. Branding.
FAQ
How long do we have to approve?
Agree a window when the sample ships. Sitting three months then requesting a new ET is a new SKU.
Can we approve two finishes from one geometry sample?
You can view geometry once, but each finish still needs a visual sign-off. Chrome especially.
What if one piece in the set of four is off?
Photograph all four, mark the outlier, send to sales. Do not silently pick the best one as the gold sample.
Does approval affect warranty?
Yes. Warranty follows the approved drawing. Warranty.
